Three pipelines, kept apart on purpose.
What it is
Most CRMs give you one pipeline and ask you to bend it. A pre-application lead, a loan sitting in underwriting and a real estate agent you have known for six years are not the same kind of record, and forcing them through the same stages is how a CRM starts lying to you.
Leaf360 keeps three stage sets apart on purpose. Sales pipeline stages are for leads and prospects before an application. Loan pipeline stages map the statuses coming out of your LOS. Business partner stages track the relationship with an agent, a title rep or an insurance contact the way you would track a deal.
Each set drives different screens and different automation. That separation is why a status change in Encompass can move a loan without touching a lead, and why a partner can sit at Top Partner while none of their referrals are in process.
How it works, day to day
The help center is blunt about the order: stages first, everything else after. Focus bars, mass actions, SLA rules and the stage picker on every record all read from that setup.
- 1
Set your stages first
Loan pipeline stages and statuses live in Settings under Loans, for administrators. Sales and business partner stages are set from Manage Pipelines on their own pipelines. Build them before you start working records, or you will be remapping things you have already touched.
- 2
Bring your database in
The importer is a four-step wizard: pick Leads or Partners, upload a CSV, map your columns, then review and import. It matches rows against what is already there and reports a Created count and an Updated count, so a re-import corrects records instead of doubling them.
- 3
Work the list, or work the board
Every pipeline shows as a sortable list or a board. Focus bars across the top filter to the group you care about right now, and Days in Current Status turns a stale file into something you can see rather than something you remember.
- 4
Act on hundreds at once
Select across a filtered list and reassign, retag, change a stage, archive or send in one action. Saved filters mean the list you built on Monday is still there on Friday.
- 5
Let the clock chase you
SLA rules put a timer on a new lead and raise a breach alert when it runs out. On paid plans, forwarded referral emails from a partner become leads on their own, so nothing gets copied out of an inbox by hand.
What you get
The parts of the pipeline that do the actual work.
Custom stages on all three pipelines
Your stage names, your order, and for loans a map from LOS statuses onto the stages you actually think in.
Focus bars and saved filters
Filter the pipeline down to the slice you are working, save it, and come back to it tomorrow.
Custom fields everywhere
Add the fields your business runs on to leads, loans and partners. They show up in filters, imports and workflow conditions.
Four-step importer with an undo
Map your columns, preview every row, then import. Import History can reverse a whole import and shows you what it will delete first.
Public lead forms
Hosted or embedded in your own site, landing straight in the sales pipeline with the lead source already set.
SLA rules, timers and breach alerts
Decide how fast a new lead has to be touched, and get told when it is not, rather than finding out at the end of the month.
Everything in pipeline & records
Straight off the plan comparison, with the plan each one starts on.
- Sales pipeline with list & board viewsEvery plan
Your pre-application leads, shown either as a sortable list or as a board you drag people across.
- Loan pipelines & custom stagesEvery plan
Loans in process carry a status from your LOS, and you decide which statuses roll up into which stage.
- Referral partner pipelinesEvery plan
Real estate agents, title reps and insurance contacts get their own stages, so a partner relationship is tracked like a deal.
- Custom fields on leads, loans & partnersEvery plan
Add the fields your business actually uses, and they show up in filters, imports and workflow conditions.
- CSV import & exportEvery plan
A four-step importer brings your old database in, and everything exports back out whenever you want it.
- Bulk actions & saved filtersEvery plan
Select hundreds of records at once to reassign, retag, move a stage or send, and save the filter you used.
- Public lead forms (hosted & embeddable)Every plan
Forms you can host on a Leaf360 page or drop into your own site, landing straight in the sales pipeline.
- Lead sources & sub-sourcesEvery plan
Label where each lead came from, down to the campaign, so the reporting can tell you what is worth repeating.
- Archive & restoreEvery plan
Move dead records out of the working pipeline without deleting them, and pull them back if the file wakes up.
- Referral emails turned into leads automaticallyCore and up
Forward a referral partner's email and Leaf360 reads it and creates the lead, so nothing gets copied out by hand.
- SLA rules, timers & breach alertsCore and up
Set how fast a new lead has to be touched, and get told when the clock runs out instead of finding out later.
Why it matters for a loan officer
The lead you lose is almost never the one you decided not to call. It is the one that fell out of view. A pre-approval that went quiet in April does not announce itself in May, and a single flat contact list will not surface it either.
Three pipelines with real stages, a timer on the new ones and a filter you can save turn that from memory work into screen work. You open the list and the file that needs you is at the top of it.
- A pre-approval sitting past your SLA raises a breach alert instead of aging quietly.
- A loan moving to Clear to Close in the LOS moves in Leaf360 without anyone retyping it.
- A referral partner who has not sent anything in ninety days shows up in a filter, not in a regret.
- Bulk actions mean a stage cleanup is ten minutes, not an afternoon.

Questions
Because they move differently. A lead has sales stages before an application, a loan carries a status that comes from your LOS, and a referral partner is a relationship you nurture over years. Each set drives different screens and different automation, so mixing them would break more than it would simplify. You set the three up separately: loan stages in Settings under Loans, sales and partner stages from Manage Pipelines on their own pipelines.
