Zoom integration for Leaf360

Connect Zoom to Leaf360 to schedule meetings and webinars from your pipeline, sync registrants and attendees to the right contacts, and attach cloud recordings and transcripts to the records they belong to.

What the Zoom integration does

The Zoom integration lets a Leaf360 user authorize Leaf360 to act on their Zoom account for scheduling and reporting. Once connected, Leaf360 can:

  • Create, update, and cancel Zoom meetings from inside Leaf360.
  • Create, update, and cancel Zoom webinars when your Zoom plan includes a Webinar license.
  • Sync webinar registrants and attendees back to Leaf360 contacts.
  • Attach Zoom cloud recordings and transcripts to the related Leaf360 contact, meeting, or webinar record.
  • Show meeting and webinar status (scheduled, started, ended) on the contact timeline.

Leaf360 never re-sells Zoom data and never uses it for any purpose outside the workspace that authorized the connection.

Connect Zoom from Leaf360

  1. Sign in to Leaf360 and open Settings › Integrations (or use the link at the top of this page).
  2. Find the Zoom card and click Connect Zoom.
  3. You will be redirected to Zoom to sign in (if you aren't already) and approve the scopes Leaf360 requests.
  4. After approval, Zoom returns you to Leaf360 and the Zoom card switches to Connected, showing your Zoom email and account type.

Each Leaf360 user authorizes their own Zoom account. Connecting Zoom for one user does not connect it for the rest of the team.

Disconnect Zoom

You can disconnect Zoom in two ways:

  • From Leaf360: open Settings › Integrations, find the Zoom card, and click Disconnect.
  • From Zoom: open the Zoom App Marketplace, go to Manage › Added Apps, find Leaf360, and click Remove.

Disconnecting revokes Leaf360's access tokens and stops all new syncs immediately. Existing meeting and webinar records in Leaf360 remain visible to your team unless you also request deletion (see Data and deletion).

How meetings are created and synced

  • Create a Zoom meeting from a contact, deal, or the Leaf360 calendar. Leaf360 calls Zoom's API to schedule it and stores the join URL, start URL, and meeting ID on the related record.
  • Updates made in Leaf360 (time, topic, settings) push to Zoom. Updates made directly in Zoom sync back through Zoom webhooks, usually within seconds.
  • When a meeting starts and ends, Leaf360 records the timestamps on the contact timeline.
  • If cloud recording is enabled in your Zoom account, the recording link and transcript are attached automatically once Zoom finishes processing them.

How webinars are created and synced

Webinar features require a Zoom Webinar license on the connected account. Without it, Leaf360 hides the webinar actions on the Zoom card.

  • Create a Zoom webinar from Leaf360 in the same way as a meeting. Registration pages, panelists, and reminders configured in Zoom are preserved.
  • Updates to topic, time, and webinar settings sync both directions.
  • Registrants and attendees flow back into Leaf360 (see the next section).
  • Cloud recordings and transcripts attach automatically when processing finishes, identical to meetings.

Registrants vs. attendees

Zoom reports two different sets of people for every webinar. Leaf360 syncs both, and the distinction matters:

  • Registrants are everyone who signed up. They exist in Zoom as soon as someone fills out the registration form, even if the webinar hasn't happened yet.
  • Attendees are the subset of registrants who actually joined the live session. Attendance data is finalized by Zoom shortly after the webinar ends.

In Leaf360 you can filter contacts and trigger automations on either signal, e.g. nurture all registrants and apply a different follow-up for confirmed attendees.

Business-contact sync by default

By default, webinar registrants and attendees sync into Leaf360 as business contacts — the audience type most loan officers run webinars for (referral partners, agents, builders).

For consumer-facing webinars (homebuyer education, refinance Q&As, etc.) you can switch a specific webinar to Consumer / Lead sync in the Zoom card's per-webinar settings. Registrants and attendees from that webinar will then sync as consumer leads and enter your consumer follow-up workflows.

The default is per-workspace and can be changed in Settings › Integrations › Zoom.

Recordings and transcripts

Leaf360 attaches Zoom cloud recordings and transcripts to the related meeting or webinar record once Zoom emits therecording.completed /recording.transcript_completed webhooks.

  • Recording and transcript playback links open Zoom's native player; the underlying file stays on Zoom's servers.
  • If you delete the recording in Zoom, the link in Leaf360 stops working — Leaf360 does not maintain a separate copy.
  • Recordings and transcripts only appear if cloud recording (and, for transcripts, Audio transcription) is enabled in the connected Zoom account's settings.

What Zoom data Leaf360 stores

Leaf360 stores only the minimum needed to operate the integration:

  • OAuth access and refresh tokens for the connected Zoom user, encrypted at rest.
  • Meeting and webinar metadata (id, topic, start time, duration, status, join/start URLs).
  • Registrant and attendee records (name, email, join/leave times) tied to the related contact in Leaf360.
  • Recording and transcript URLs returned by Zoom. The audio, video, and transcript files themselves stay on Zoom.

Leaf360 does not store meeting passcodes, chat content, polls, or any data outside the list above. Full details are in our Privacy Policy.

Request deletion of Zoom data

You can remove Leaf360's copy of your Zoom data at any time:

  1. Disconnect first. Open Settings › Integrations › Zoom and click Disconnect, or remove Leaf360 from the Zoom App Marketplace. This stops new syncs immediately.
  2. Email a deletion request to info@leaf360.io from the address on your Leaf360 account, with the subject “Zoom data deletion”. Tell us whether to delete only Zoom-sourced data or your entire Leaf360 account.
  3. We confirm receipt within 1 business day and complete verified deletions within 30 days.

Leaf360 also automatically purges Zoom data within 30 days when Zoom notifies us that you have uninstalled the app from the Zoom Marketplace.

Troubleshooting

Error: missing scopes / permission denied

Zoom occasionally updates the scopes Leaf360 requests. If you see a “missing scope” or “permission denied” error, open Settings › Integrations › Zoom, click Disconnect, then click Connect Zoom again and re-approve all scopes on the Zoom consent screen.

Webinar actions are missing or disabled

The connected Zoom account needs a Zoom Webinar license. Ask your Zoom admin to enable a Webinar license on the user that authorized Leaf360, then refresh the Leaf360 Integrations page.

Recordings or transcripts aren't showing up

In your Zoom account settings, confirm that Cloud recording is enabled and, for transcripts, that Create audio transcript is on. Zoom only fires the webhooks Leaf360 listens for when cloud recording (and transcription) is active. Local recordings cannot be synced.
